Preparing a temporary access card
We can grant other people temporary access to the space using non-member access cards in Hula. Changes in Hula must be made by Hula admins, however regular members can take care of the remaining steps.
This feature IS NOT meant for member cards.
The high-level steps are as follows:
- Pick a card in the safe, either:
- An existing rental card (existing_cards)
- A brand new card from the card box (making_a_new_card)
- Register/update the card in Hula (lending_out_a_card)
- Do this first for new cards: (making_a_new_card)
- Set card validity (lending_out_a_card)
- Test card
- Hand over the card
- Receive and put the card back in the safe (returning_a_card)
This is approved on a “reasonable need/consensus” basis. Examples include:
- Known “friend of the space” (e.g. Skankin) borrows equipment from us
- Discussion in Signal ends up concluding that someone might have a need for a card
Existing cards
We have a few cards already set aside from this purpose:
When not in use, these cards are stored in the box marked “Brukt” in the Hackeriet safe.
Making a new card
- Pick a brand new card from the safe
- Mark the card in a reasonable fashion to make it unique, e.g.
- Stickers
- Dymo labels
- Hackeriet logo (for good measure)
- Visit the “create a card” page in Hula: Link
The following information must be filled out:
- Fill out “Utlånskort/Loan card” as the short name/description of the card
- Describe the card's unique markings in the “additional notes”
If a card will NOT be immediately lent out, fill in the placeholder values noted here.
Lending out a card
- Find a card from the safe or make a new one
- Update the card in Hula
- Fill in name and phone number for the person being lent to. Groups/entities may be identified by a common name, but a phone number must be written down
- Set the start/end dates to an appropriate time frame
- Mark the card as enabled
- Add the circumstances for the card being loaned out into the “additional notes” field
Test the card by the door and ensure it scans properly (assuming its validity period has started).
The card can now be handed over to the lendee.
Returning a card
When we receive cards back, mark them as disabled in Hula and put them back as described in “existing cards”.
Fill the following information in for the card
- Put “Hackeriet Safe” in the name and cellphone field of the card
- Disable the card
- Set both start and expiry to “now” (if not already filled out)
